Administer sharing links
Use Organization settings > Share links to review external links and control their availability. The page requires Editor type or higher and a plan with sharing links. Administrators and the Owner see the organization's links; other managers see their own.
For creating a link from a resource, follow sharing a read-only link. Access to this administration page and permission to create links are separate.
Control organization sharing
- As an Administrator or Owner, open Share links > Manage.
- Set Enable share links as needed.
- If an IP allowlist is active, decide whether to enable Bypass IP allowlist for share links.
- Click Validate.
- In Users, enable link creation only for the intended members and validate their changes.
Creating or editing a link requires organization sharing to be enabled and the member's link-creation permission. Administrator status alone does not replace that individual permission. Revocation remains a separate action available to the creator or an Administrator.
Disabling sharing stops all existing links without deleting them. Re-enabling it can make those stored links usable again if their other conditions are satisfied.
The IP exception lets link holders access shared resources from outside the organization's allowed addresses. It does not open the normal application outside the allowlist. Review this distinction with the security settings.
Inspect and edit a link
- Search by name, resource, prefix or type in the link table.
- Inspect the resource, status, expiration, last use and creation date. Administrators also see Creator.
- Open the resource to verify what is being shared, or use the copy action to retrieve its URL.
- From the row's Actions menu, choose Edit.
- Review name, expiration, theme and roles. Administrators can also change Owner.
- Click Validate, then check the URL in a separate signed-out browser session.
The name accepts up to 100 characters. Themes are automatic, light or dark. Sharing roles belong to the link; they do not automatically track future changes to the creator's personal roles. A nonadministrator can add only roles they hold and cannot remove administrator-added roles they do not hold.
A copied URL grants access to the shared resource in read-only mode. Avoid placing it in a public ticket or message unless that audience is intended. The visitor's visible data follows the link's roles, not the administrator session used to copy it.
Expiration and ownership
Keep current expiration preserves the existing deadline, including one already passed. A rename alone therefore does not reactivate an expired link. Choose No expiration, 24 hours, or 7, 30 or 90 days to set a different expiration; a new duration starts from the change.
To transfer a link, an Administrator selects another active organization member of Editor type or higher as Owner and validates. For a personal visualization, that member must also own the underlying visualization. Transferring the link does not move personal content into another member's space.
The Creator column reflects the link's current holder after transfer. Do not treat it as an immutable record of the initial author. Inspect both the holder and resource when reviewing whether a link should remain available.
Revoke or diagnose access
- Locate the link and use Actions > Delete.
- Read Delete this link?, then confirm Delete.
- Refresh the former URL in a signed-out session to check the refusal.
- Verify that the original resource remains available to its authorized Boldo users.
Deletion permanently revokes that URL and removes the link, not the resource. Creating another link produces a different URL. This differs from temporarily disabling organization sharing.
A stored link may also stop working because it expired, its holder was removed or fully disabled, or the organization or subscription no longer permits sharing. An IP restriction can also refuse a visitor. The visitor may receive a generic error rather than details of these internal policies.
Check global sharing, the plan, holder membership and sign-in methods, expiration, IP policy and link roles before recreating it. If you intended to revoke access permanently, delete the link instead of relying only on a temporary global switch.
