Create, edit and duplicate an asset
Create an asset when you need a new item in the knowledge base. Edit the existing asset when you are updating the same item; duplication creates a separate asset with its own identifier.
The form follows the selected asset type's properties and relationships. Your permissions determine which fields you can change directly.
If you can read the type but cannot create its assets, the form offers Suggest an asset. With creation permission, enable Suggestion to request review instead. Include the properties and relationships to examine together. Follow creation suggestions: the asset needs approval before joining the inventory.
Create an asset
- Open Inventories and select the intended type.
- Check the organization and real data or scenario context.
- Select Create asset.
- Enter the asset's name and check the type shown in the form.
- Choose an icon, access domains and owners when appropriate and available.
- Complete the fields in Properties, including the information required by your organization's model.
- Open Relationships to link existing assets when needed.
- Select Validate.
- After confirmation, find the asset in the inventory and open its page to check the result.
Some properties have default values. Read them before validating instead of assuming that every initially displayed value came from you.
Property categories, choices, score ranges and date fields depend on the type. Calculated properties are produced by Boldo rather than entered in this form. The x/y property counter shows how many required properties are filled in. Separate badges indicate changes and errors. Relationships counts relationship instances, with separate change and error badges. None of these counters confirms that the asset has been saved.
Access domains help determine permissions. Owners identify the people responsible for maintaining the asset. Assigning an owner does not automatically grant that person editing rights.
Edit an existing asset
- Find the asset in its inventory or open its full page.
- Select Edit.
- Update the name, properties or other fields you are authorized to change.
- If you change relationships, review the Relationships tab and any link properties.
- Select Validate and wait for confirmation.
- Check the saved values on the asset's page.
Validating a relationship's properties inside the asset form only prepares that change. You must also validate the parent asset form. Cancel abandons the form's unsaved changes.
If Suggest is offered, you are submitting a suggestion for review rather than directly editing that information. A form can contain both writable fields and fields requiring a suggestion. Read its indicators and the result of submission; see suggest and review a change.
If direct changes succeed but some suggestions fail, the form can remain open so you can correct or retry the outstanding suggestions. Check what was already saved before submitting again.
For small changes across several assets, use cell editing in the inventory. For help preparing values, the AI assistant can assist in the form; review its changes before validating.
Edit several assets
In the inventory, enable Select multiple assets, select the rows and open the bulk editing action. Choose a field and its value. Replace and Add to existing, where offered, distinguish replacing a value from extending it.
Review the assets to update, those receiving suggestions and those remaining unchanged. This distribution depends on permissions. To submit even authorized changes for review, enable Suggestion. A Viewer uses Suggest changes and only sends suggestions.
Submit with Update or Send suggestions, then check the result. Large selections are processed in batches; an error does not necessarily undo batches that already succeeded.
Duplicate an asset
- Find the source asset in its inventory.
- Open its Actions menu and select Duplicate.
- Replace or confirm the proposed copy name.
- Select Duplicate and wait for the result.
- Open the copy and review its properties, relationships, domains and owners before using it.
The copy has a new identifier. Boldo uses the source's type, accessible property values, icon, domains and accessible relationships, including their properties. For a process, its flow can also be copied when permissions allow it.
Owners, attestations, comments and the source's activity history are not carried over as the new asset's history or responsibility. Assign owners to the new asset as needed. A copied relationship can still point to an existing asset; duplication does not recursively copy the whole surrounding knowledge base.
Duplication remains subject to creation rights and uniqueness rules. A copied unique-key value may prevent creation. If the copy is rejected, inspect the error; create a new asset with distinct identifiers when the duplicate dialog cannot correct the conflicting property.
Understand a rejected creation or update
A required name, an invalid value, a name collision or a unique-key conflict can prevent validation. Read the error on the affected field or tab. Two different assets must not reuse a value configured as a unique key within the applicable type and data context.
The organization can also reach its asset limit. Ask an administrator to check the subscription and limits when Boldo reports that limit.
An absent or disabled command may reflect account type, business permissions or archived status. Use permission diagnosis or restore an archived asset as appropriate. Repeatedly reopening the form does not change these conditions.
