Assign or change owners
An asset owner follows its information and, when repository quality is active, attests it after review. Owners are an ordinary asset field in every plan; notifications to owners and attestation come with repository quality. This responsibility is distinct from the Owner account type for an organization, and does not grant additional access.
You can designate several people. Choose organization members who can perform the expected review, then check their access separately.
Update one asset
You need permission to edit the asset to change its owners directly.
- Open the asset from its inventory and select Edit.
- In Owners, search for and select the intended members.
- Remove existing selections if those people should no longer be responsible.
- Read any access indication, such as Will follow, cannot edit.
- Select Validate.
- Check the owners shown on the asset page.
The access hint also appears when creating an asset or editing its ownership cell. It describes editing permission, not a grant of access. A reader suggesting owners can select members without seeing these permission hints.
The selector assigns people, not roles. In the ownership review, searching for a role can help you find its members, but the selected owners remain individual people.
A member who cannot edit may still be able to read and attest the asset. A member who cannot read it cannot perform that review. Use permission diagnosis when the responsibility and access do not match.
Previously selected inactive owners can remain visible so that you can resolve their situation. That does not make them suitable new owners. Use the ownership review for people who have left the organization.
Update several assets
For a consistent change across multiple assets, use the inventory's selection and bulk editing controls.
- Open the inventory and enable Select multiple assets.
- Select the intended rows and choose Update.
- Choose Owner as the field to change and select the members.
- Choose Add to existing to keep each asset's current owners, or Replace to substitute your selection.
- Review which assets will be updated, receive suggestions or remain unchanged.
- Confirm with Update, or Send suggestions for a selection containing only suggestions, then check representative assets.
When access information is available, Can edit 3 of 5 assets, for example, identifies a member who can edit only part of the selection. Will follow, cannot edit means they cannot edit any of it. Assigning them still grants no additional permission.
Replace is the initial mode. Do not assume a selected person will simply be added to every existing list. A replacement can remove other owners; adding preserves them. Replacing with an empty selection removes all owners from the assets updated directly; for suggestions, removal remains subject to review.
Without edit permission, ownership changes can be submitted as suggestions. The Suggestion switch also lets you suggest a change when direct editing is available. These suggestions remain pending review rather than changing ownership immediately. Check their result through the suggestion workflow.
You can also edit the ownership cell in cell-editing mode, then review and save the pending changes. This differs from the immediate assignment controls on the quality page.
Remove yourself
An existing owner can use Remove me where offered, even without permission to edit the asset's content. If you are the last owner in the read-only workflow, the confirmation explains that the asset will be left without an owner.
When working through an editable form, remove your selection and validate the form. Check whether another person remains responsible before leaving the asset unassigned.
With repository quality, removing yourself also notifies the remaining owners who can read the asset, according to their preferences.
Assign me is available in some ownership-review and unowned-asset controls. It is not a separate button beside every owner field. Use the ordinary owner selector when that action is absent.
Understand an administrative handover
An administrator can transfer the responsibilities of a departed or inactive member. This replaces that person while keeping other owners, and avoids adding the replacement twice.
When access information is available, the replacement selector counts the active real-data assets the member can edit. Check this before confirming the handover; the count does not cover archived assets or scenario copies.
The handover can affect archived assets and scenario copies as well as active real data. It is broader than editing only the visible rows of a quality report. Review that scope before using it.
With repository quality, the replacement receives a grouped assignment notification for active real-data assets they newly own and can read, according to their preferences. Archived assets and scenario copies do not appear in this notification. If they performed the transfer themselves, they receive no assignment alert.
Transferring responsibility does not attest the affected assets anew. Existing attestation dates remain; attribution to the former member can be removed during account cleanup. The new owner should inspect what needs review through Home.
