Understand quality and freshness
Quality indicators help you identify information that needs attention. They measure responsibility, recorded information and verification over time. None of them automatically proves that the business information is correct.
An asset can be complete but out of date, or recently attested with properties still missing. Use these signals together rather than treating one percentage as a verdict.
Read the indicators
| Indicator | What it measures |
|---|---|
| Ownership coverage | The share of assets with at least one owner. Two owners still represent one covered asset. |
| Completeness | How many counted properties are filled in. Assets without counted properties are not evaluated. |
| Freshness | Whether an asset is attested, with no outstanding re-attestation request and within its type's review period when there is one. |
| Repository quality | A combined score calculated per asset, then averaged over the accessible population. |
Owners are the people responsible for following an asset. Ownership does not grant read or edit permissions. Someone may therefore own an asset they cannot open; this needs a separate access review.
Completeness measures filling, not accuracy. A filled property can be wrong. An attestation records that an owner has checked the information; it does not fill or correct fields.
Interpret freshness states
Freshness applies to every asset type. It uses the last attestation, any pending re-attestation request and, when the type has one, its revalidation delay. The organization must have the quality program enabled on a compatible plan.
| State | Meaning and next action |
|---|---|
| Attested | An attestation exists, no re-attestation is requested and the type's deadline, if any, is not close. |
| Review soon | The type has a delay and at least 80% of it has elapsed. Plan the next review; the asset still counts as fresh. |
| To re-attest | The type's deadline has been reached or someone requested another review. Check the information, then attest again. |
| Never attested | No owner has attested the asset yet. Perform the first review. |
For a type reviewed every 30 days, Review soon starts around day 24. A re-attestation request can bring an already attested asset back for review before day 30. With No delay, an attested asset stays Attested until someone requests a re-attestation.
Saving a property change does not renew the attestation. Conversely, attesting updates attestation metadata without changing the content's modification date. The date of the last edit and the date of the last review answer different questions.
Do not confuse freshness with Value possibly out of date on a calculated property. That alert concerns a calculation that needs refreshing; it does not replace human verification.
Understand combined scores
For repository quality, completeness normally weighs 50%, having an owner 25%, and freshness 25%. When completeness cannot be measured, it is omitted and the remaining weights are adjusted.
The calculation is performed on each asset before averaging. It is not necessarily the simple weighted average of the three percentages shown on the page: their measured populations can differ.
Personal and per-owner quality weigh completeness two thirds and freshness one third, without an ownership criterion. An asset whose completeness cannot be measured is rated on freshness alone.
Quality reports reflect the assets the person viewing them can access. Compare reports only after checking their scope, configured delays and counted properties. An asset with several owners appears under each owner, so summing owner rows can count it more than once.
In a scenario, ownership and completeness reflect the scenario. Freshness indicators are hidden and attestation actions are unavailable, but combined scores still include freshness from real data. Attestations and re-attestation requests made in real data immediately update that information in existing scenario copies, including copies of archived assets. An asset created only in a scenario has no attestation. It must first reach real data before an owner can attest it.
Saved filters on attestation fields keep applying in a scenario, but their controls are locked. Hiding freshness indicators does not clear those filters or erase past attestation events.
Choose the next action
- Assign an owner when nobody is responsible for an asset.
- Resolve access problems if the responsible person cannot read it.
- Fill missing information and correct inaccurate values.
- Attest the asset once an owner has checked it.
- Request another review if a new doubt arises before the deadline.
Administrators configure the quality program and revalidation delays. Ownership and completeness also exist outside that program; freshness tracking and its review tools require it to be enabled.
